How to Plan the Perfect BBQ Catering Event in the GTA

Planning a BBQ Event? Here`s What We`ve Learned After 30+ Years

There`s something about the smell of barbecue that just pulls people in. Doesn`t matter if its a corporate picnic in Brampton, a wedding out in Vaughan, or a neighbourhood block party somewhere in Scarborough — when someone fires up a grill people just gravitate towards it. We`ve been doing BBQ catering across the GTA since 1990 and honestly, we`ve picked up a thing or two about what makes these events actually work well.

So if your still in the early stages of planning, heres some stuff you should probly think about.

1. Book Your Caterer Wayyy Earlier Than You Think

This one catches people off gaurd litterally every year. Summer in the GTA is basicly peak BBQ season, and the good caterers fill up realy realy fast. We`re talking like, way faster than most people expect. If your planning something for like June July or August, you really should be reaching out in April or early May at the latest.

Booking early also means you actualy have time to figure out the menu, deal with dietary stuff, and sort out logistics without rushing everything. Last minute events can absolutely work — we`ve pulled off plenty — but theres always more stress involved and your options are more limited. Just something to keep in mind.

2. Your Menu Should Match the Event

This sounds obvious but you`d be surprised. A casual backyard party doesnt need the same menu as a corporate client appreciation event, right? For the backyard thing? Classic burgers dogs corn on the cob — people are usally happy. But for a corporate event or a wedding, thats where you probably want to go with smoked brisket grilled salmon premium sausages, gourmet sides, that kind of thing.

Also — and this is important — think about who`s actually going to be there. Vegetarians? Allergies? Kids who eat like three things total? A decent BBQ catering company should help you build a menu that covers everbody without overcomplicating things. We let people create there own menu from our full selection which honestly takes alot of the guess work out of it.

3. The Venue Matters Way More Than People Think

Where your hosting has a way bigger impact on catering then most people realize. Outdoor spaces are obviously the go-to for BBQ — parks backyards rooftops lakefront spots. But there`s some practical stuff to think about:

  • Room for the grills — We need space to set up safely and actually cook
  • Power access — Some of our equipment needs electricity nearby
  • Rain plan — This is the GTA you need a tent or indoor backup period.
  • Where people will sit and eat — Theres gotta be a natural flow from the food to the seating

4. Its Not Just About the Food

Ok well, mostly its about the food. But honestly the best BBQ events we`ve catered usually also had some other stuff going on. Entertainment lawn games good music — it all adds up. Some ideas that have worked really well at events we`ve done:

  • DJ or some live music going
  • Cornhole horseshoes or whatever
  • Ice cream cart for after
  • Themed decorations if that fits the vibe

5. Talk to Your Caterer. Seriously.

You`d be amazed how many events have hiccups because of simple miscommunication. Make sure your caterer knows the real headcount (not a guess), when people are actually showing up, any dietary restrictions, and what you expect in terms of service. Even just a quick call a few days before catches stuff that would of turned into problems day of.

We assign a dedicated coordinator to every event. Thats your person from the first quote till we pack up and leave. Nothing gets lost that way and you always know who to call if something comes up.

6. Good BBQ Takes Time – Plan For It — Plan For That

Heres the thing about real barbecue — you really cant rush it. Smoking a brisket takes hours, theres no way around it. Ribs need time. If your working with a legit BBQ caterer (not someone just grilling frozen patties), the schedule needs to account for that cook time. We usually show up like 2-3 hours before to get everything setup and start cooking.

For more formal stuff we usually suggest doing a cocktail hour while the main course finishes up on the grill. Keeps people happy and builds anticipation, and honestly the smell alone makes everything taste way better when it finally hits the plate.
