How to Plan the Perfect BBQ Catering Event in the GTA

Planning a BBQ Event? Here`s What We`ve Learned After 30+ Years

There`s something about the smell of barbecue that just pulls people in. Doesn`t matter if its a corporate picnic in Brampton, a wedding out in Vaughan, or a neighbourhood block party in Scarborough — when someone fires up a grill, people gravitate towards it. We`ve been doing BBQ catering across the GTA since 1990 and honestly, we`ve picked up a thing or two about what makes these events actually work well.

So if your in the early stages of planning something, heres some stuff worth thinking about.

1. Book Your Caterer Way Earlier Than You Think

This one catches people off guard every single year. Summer in the GTA is basically peak BBQ season, and the good caterers fill up real fast. We`re talking like, way faster than most people expect. If your planning something for June, July, or August, you really should be reaching out in April or early May at the latest.

Booking early also means you actually have time to figure out the menu, deal with any dietary stuff, and sort out the logistics without rushing. Last minute events can absolutely work — we`ve pulled off plenty — but theres always more stress involved and your options are more limited. Just something worth keeping in mind.

2. The Menu Should Match the Event

This sounds obvious but you`d be surprised. A casual backyard party doesnt need the same menu as a corporate client appreciation event, right? For the backyard thing? Classic burgers, dogs, corn on the cob — people are happy. But for a corporate event or a wedding, thats where you probably want to go with smoked brisket, grilled salmon, some premium sausages, gourmet sides, that kind of thing.

Also — and this is important — think about who`s actually going to be there. Vegetarians? Allergies? Kids who only eat like three things? A decent BBQ catering company will help you build a menu that covers everyone without making it overly complicated. 3. The Venue Matters More Than People Realize

Where your hosting the event has a bigger impact on the catering then most people think. Outdoor spaces are the obvious choice for BBQ — parks, backyards, rooftops, lakefront spots. But there`s some practical stuff to think about:

  • Room for the grills — We need space to set up safely and actually cook
  • Power access — Some of our equipment needs electricity nearby
  • Rain plan — This is the GTA, you need a tent or indoor backup. Period.
  • Where people will sit and eat — Theres gotta be a natural flow from the food to the seating

4. Its Not Just About the Food

Ok well, mostly its about the food. But the best BBQ events we`ve catered usually had some other stuff going on too. Entertainment, lawn games, good music — it all adds up. Some ideas that have worked really well at events we`ve done:

  • A DJ or live music in the background
  • Cornhole, horseshoes, or other lawn games
  • An ice cream cart for after the meal
  • Some themed decorations that fit the vibe

5. Talk to Your Caterer. Like, Actually Talk to Them.

You`d be amazed how many events have hiccups because of simple miscommunication. Make sure your caterer knows the real headcount (not a guess), when people are actually showing up, any dietary restrictions, and what you expect in terms of service. A quick call a few days before the event can catch stuff that would otherwise turn into problems day-of.

We assign a dedicated coordinator to every event we do. This person is who you talk to from the initial quote all the way through to when we pack up. Means nothing gets lost in the translation and you always know who to call if something comes up.

6. Good BBQ Takes Time — Plan For That

Heres the thing about real barbecue — you cant rush it. Smoking a brisket properly takes hours, theres no way around it. Ribs need time. If your working with a legit BBQ caterer (not someone just grilling frozen patties), the schedule needs to account for cook time. Our team usually shows up 2-3 hours early to get setup going and start the cooking process.

For more formal events, we usually suggest building in a cocktail hour while the main course is getting its final touches on the grill. Keeps people happy, builds some anticipation, and honestly the smell of everything cooking just makes the food taste even better when it finally hits the plate.
